v6 to v7 Site Upgrade Guide

Upgrading a version 6 site to version 7 requires a few key steps to ensure that both your site features and pricing are optimal, and this guide will help you understand and complete the process.

Live sites running on version 6 can remain on their current plan structure and pricing, with the feature adjustments, service reduction, and resource limits as outlined in this blog post.

If you wish to upgrade to version 7, along with the new feature structure and pricing plans, you’ll first want to review the current features and items that exist on the site. This is made easy with the use of the ‘New Pricing’ tool, found in your live site’s settings via your reseller Portal.

The ‘New Pricing’ tool will help you clearly see the current state of your site, how much it would currently cost on v7, and where to adjust to optimise for a new version 7 subscription.

Site Optimisations

After running the ‘New Pricing’ tool, expand the ‘Details’ section of the Content Plan and Ecommerce plan (if presented), and review the itemised list of features.

This will provide you with information to either; move forward with the calculated new pricing, or identify areas where adjustments can be made for better economy.

Let’s look at the calculator summary below as an example:

This site has 20 different products/services and is collecting enquiries on each of these pages via individually configured forms (specific to that product/service - eg: collecting the name and price).

However, 20 forms are pushing the site into the PRO plan due to the 10 form limit of the BUSINESS plan. With seeing this information in the calculator, you could assess if reworking this implementation, to just use one dynamic form (capturing product/service name and price via Liquid), could allow you to reduce the new suggested pricing and remain on the lower BUSINESS plan.

Additionally, since this site is using the eCommerce feature to list the products, it’s revealed that some advanced features (‘Grouped Products’ and ‘Volume Discounts’) are configured. However, you know that these are not in use. Perhaps these features were trialled with your client at some point but a difference business logic was chosen instead. These leftover features can now be removed to optimise pricing.

In this example scenario, the basic listing of the products, which in this case don’t utilise the shopping cart or online purchasing, could even be revised to use Custom Modules instead, foregoing the Ecommerce plan altogether.

Armed with the information provided in the calculator you can better assess how a site’s new price is calculated and possible options to mitigate any increases.

Moving to v7

Once you’ve optimised your site for the appropriate features and items and have confirmed that the ‘New Pricing’ calculations are final, you can go ahead and upgrade the site instance to version 7.

The ‘New Pricing’ tool does not reconfigure your site or apply any plans. It’s purely an analysis tool for you’re information (with the exception of removing hidden features).

To upgrade your site to version 7, from your Portal, in your Live Sites list, click the “UPDATE PLAN” button alongside the site in question.

You will be prompted with a dialogue box outlining the steps that will take place once you confirm to upgrade.

Two important factors to note here are:

  • The site will move to a pending “Trial Site” mode for billing purposes only. The site will NOT go offline and no domain changes will be made. The site will remain live and accessible as before, although now on version 7, and will be pending payment (which is a separate step).
  • The maximum version 7 Content and Ecommerce plans will be assigned by default, along with all extensions. You can adjust to the optimal plans, extensions and any extras as required for your site (using the prior ‘New Pricing’ tool as guidance) before finalising the payment and setting up a new subscription.

Adjusting Plans & Extras

After upgrading to version 7, you can now adjust the site plan/s and eny extras by going to the site settings via your Portal.

From your ‘Trial Sites’ list, click the 3 dot () menu to the right of the site in question and select “Settings”.

Set the “Content Plan” and “Ecommerce Plan” options to the appropriate levels required (choosign “No Ecommerce” if this plan is not applicable).

Additionally, you can configure any extra add-on features or resource increases by clicking on the “Customize …” buttons for each plan type. Being sure to click “APPLY” to save your configuration.

Pricing show in the ‘Customize’ section are for your information only. You will not be charged these amounts in this step.

Click “SAVE” on the main settings page to apply the plan configuration to your site.

Attempting to save a configuration that does not meet the current implementation of the site will display an error dialogue detailing the conflict/s, and the configuration will not be saved.

This action WILL alter your site plan configuration and available features and will determine the subscription price to be paid when the billing is initiated.

Adjusting Extensions

After upgrading to version 7, you can now adjust the site extensions by going to the site settings via your Portal.

From your ‘Trial Sites’ list, click the 3 dot () menu to the right of the site in question and select “Settings”. Then click on the “EXTENSIONS” tab.

Remove any unneeded extensions by clicking the trash can icons (), or install required extensions using the “INSTALL” buttons.

Several extensions may be added to newly upgraded v7 sites by default. Use the pricing calculator summary as a guide to which extensions are required.

Set up New Subscription

Reseller Payment

Once you have configured the site for the correct plans and features and you, as the reseller, are initiating the site subscription, you can click the “ACTIVATE” button against the Trial Site listed in your portal.

This will step through the payment process, first confirming the configured plans, extras, and extensions - where you will again be able to make any adjustments required.

The system will recheck for the optimal configuration and provide alternative suggestions for you to consider if a more economical setup is found.

If you are initiating a billing subscription for a live site that’s being upgraded to version 7, you do not need to add the domain name or DNS records during this activation process, since this is already in place for the site.

Direct Billing

Once you have configured the site for the correct plans and features and you have Direct Billing enabled for the site, your client can initiate the billing subscription via the normal Direct Billing process in the site Admin.

FAQs

Can I keep my site on v6?

Yes, providing it does not exceed any of the operating limits noted in the Final Phase above.

Additionally, v6 sites will only receive critical updates and no new features or general bug fixes will be added.

All previous beta extensions are also no longer provided on v6 sites and domain changes are locked.

I have more than one domain - do I need the Multisite extension?

V7 sites can have any number of additional domain names and/or subdomains mapped to the entire site without requiring the Multisite extension. The multisite extension is required when a domain or subdomain needs to be configured to a different start page to that of the primary domain.

If you are seeing the Multisite extension being added to your site pricing calculations in contradiction to this, ensure all domains are set to the exact same start page reference in your domain settings (eg: one might be assigned `Default` while the other `/home`. In this case, ensure both are set to `/home`). Then recalculate the site pricing.

Are there limitations to the number of Custom Module properties in v7?

A soft limit of 100 properties per module is in place. However, this is only to help manage excessive resource usage and this limit can be increased upon request to support.

Are there limitations to the number of form fields in v7?

No. Forms, on all plans, can have any number of fields.

How much storage comes with the Advanced Backup extension?

Advanced Backup for v7 utilises the site storage allocation and does not come with its own storage space. If extra storage is required for either the site or backups, simply add on additional site storage

What’s happening with Email Accounts hosted on WebinOne?

For any sites remaining on v6, the legacy plan limits for email accounts will remain in place and can be extended as per the legacy pricing. So, nothing will change for email hosting on v6.

Sites on v7 BUSINESS plan and above, will include 1 email account. Additional email accounts (or inbox storage) can be added individually via the ‘Email Accounts’ extension.

In the Final Phase (September 1st), what happened to v6 sites that exceeded the new limits?

V6 sites that exceeded the noted limits and that have not been upgraded to v7, will continue to function for a period of time while we reach out to the appropriate contact with a request to upgrade. Failing any response or remedial action, features (or the site) may be disabled.

Will I be refunded fees already paid for my v6 site when upgrading to v7?

Yes. Please submit a support ticket once you’ve upgraded and started your new v7 subscription and we’ll calculate the amount to refund to your PayPal account.

Where have my extensions gone (v6 sites)?

Support for extensions on v6 sites is no longer available and is only offered for v7 sites.

Extensions were developed and offered, for free, under a beta model. No official pricing or implementation had been finalised. With the new pricing model, extensions are now officially offered as part of the v7 infrastructure.

V6 site extensions will become available following an upgrade to v7, along with any data and prior configurations.

Can my free agency site be upgraded to v7?

Yes. Free agency sites offered under the PARTNER and PARTNER AGENCY reseller program can be upgraded to v7 with the PRO content plan and ECOMMERCE MAX plan.

Extensions and additional email accounts are, however, paid extras.
