Email Accounts

The Email Accounts extension lets you set up and manage professional, domain-based email addresses directly from your WebinOne Portal, powered by the OpenSRS hosted email provider.

Business and Pro plans include one email account at no extra cost, with additional 5 GB mailboxes available to purchase as needed.

Email Accounts is managed entirely from the Portal - there is no admin interface on the site itself. Once installed, access it via your reseller Portal by opening the site's context menu, choosing "Settings", and navigating to the 'MAILBOXES' tab.

Enabling

Email Accounts is installed as a site extension and can therefore be enabled from your reseller Portal, via the site instance settings, then under the 'Extensions' tab.

Clicking the "Install" button will move the extension to the 'Installed Extensions' section and activate it for that site.

Uninstalling

From your reseller Portal, via the site instance settings, then under the 'Extensions' tab, clicking the delete icon () next to the Email Accounts extension will uninstall the extension from the site and move it back to the 'Available Extensions' section.

Uninstalling the extension can only be completed once all mailboxes have been deleted from the MAILBOXES tab via the site's settings.

Settings

This extension does not have any configuration options from the site admin. All mailbox management is handled via the 'MAILBOXES' tab within the site's settings via your Portal, as detailed below.

Managing Mailboxes

Once the extension is installed, open the site's context menu in your Portal's 'Live Sites' list and select the 'MAILBOXES' tab. This is where you buy, configure, and manage all hosted mailboxes for the site.

Buying Mailboxes

Clicking the "Buy Mailbox" button opens a popup where you can enter the quantity of mailboxes you wish to purchase. Each mailbox includes 5 GB of storage and is charged at $2 per month. Newly purchased mailboxes appear in the list immediately once the purchase is confirmed.

Charges are added to the main account and payment confirmation is shown in the interface. Business and Pro plans include one mailbox at no cost - any additional mailboxes are billed at the standard rate.

Adding Email Addresses

Once you have available mailboxes, click "Add New Mailbox" to set up a new email address. You will be prompted to enter the username portion of the address - the part before the @yourdomain.com - and to set and confirm a password for the account.

The mailbox list displays each address alongside its used and total storage quota, and updates in real time as changes are made.

Mailbox Actions

Each mailbox in the list has a dropdown context menu with the following actions available:

Add Storage

Purchases additional storage for the mailbox. The following storage increments are available, each with a corresponding monthly charge:

  • +5 GB - $2/month
  • +15 GB - $4/month
  • +25 GB - $6/month
  • +45 GB - $10/month
  • +95 GB - $20/month
Reset Password

Allows you to set a new password for the mailbox account. Use this if a user has forgotten their password or if account access needs to be revoked and reissued.

Delete Mailbox

Permanently removes the mailbox and all emails stored within it. A confirmation prompt is shown before the deletion is processed. This action cannot be undone.

Email Domain Aliases

Domain aliases allow additional domain names to deliver email to all existing inboxes without consuming extra mailbox quota. For example, if your primary email domain is yourbusiness.com, adding yourbusiness.com.au as an alias means messages sent to any address at either domain will arrive in the same inbox.

To add a domain alias, click the "+ Add domain alias" link shown beneath the primary domain listed in the 'Email Accounts' tab. Once added, ensure the appropriate MX and SPF records are in place for the alias domain. See the WebinOne Hosted Email article for DNS configuration details.

Domain aliases do not create additional inboxes and do not count towards the site's mailbox limit. They map additional domains to all existing email addresses only.

DNS & Email Client Setup

To route email correctly to your hosted mailboxes, MX and SPF records must be configured in your domain's DNS. Optionally, a CNAME record can be set up to provide a convenient subdomain for webmail access - for example, mail.yourdomain.com.
